Tagr is a web-based compliance management platform built for NZ fire equipment service companies. It replaces paper job sheets and spreadsheets with a guided digital workflow — covering everything from scheduling field visits to generating NZS 4503:2005 compliant PDF reports for your customers.

Step 1
Adding a Site
Set up a customer location
Every customer location is a Site. A site holds the contact details, address, hazard level, and all equipment at that location. You need to add a site before you can add equipment or run a service.

Click Sites in the left sidebar.

Fill in the details
Site name and street address are required. Everything else is optional but recommended — contact details appear on PDFs.

Save
The site appears in your list immediately. Click into it to start adding equipment.

Enables a one-tap "Pass All" button at the bottom of each unit's checklist during a service. Suitable for large sites with experienced technicians. Can be toggled at any time — see the
Running a Service section for details.

Deactivating a site — If a customer contract ends, deactivate the site rather than deleting it. The full service history is preserved. Find inactive sites under the Inactive tab on the Sites page.

Step 2
Adding Equipment
Register fire equipment at a site
Equipment is added at the site level. Open a site, then click + Add Equipment. Each item gets a unique reference number and its full service history is tracked independently.

Open the site
Click a site name from the Sites list to open its detail page.

Select the type and subtype
Choose Extinguisher (ABE Powder, CO₂, Wet Chemical, Foam, Water, etc.), Hose Reel (Fixed, Swing, Automatic), or Fire Blanket. Then select the size.

Enter service history
If the item has been serviced before, enter the last service date and service level. Tagr calculates the next due date automatically.

Set the location
Describe where this item is on-site (e.g. "Reception desk", "Kitchen", "Warehouse Bay 3"). This helps technicians find it and appears on reports.

Adding several identical units at once — On the Add Equipment form, set Number of units to add above 1. You enter the shared details (type, subtype, size, manufacture date, service dates) once and then just type each unit's location and serial number. Tagr generates the equipment refs automatically. Useful for large fit-outs where, say, a warehouse has twelve identical 4.5kg ABE extinguishers.

Works offline — Adding equipment works even with no signal or a poor mobile connection. If Tagr can't reach the server, the units are saved on your device and shown in an ⏳ Awaiting upload panel on the site's equipment tab. They upload automatically as soon as your connection is stable — nothing needs to be re-entered.

Extinguisher only
Gas-cartridge type
Tick this if the extinguisher uses a separate propellant cartridge (gas-container type) rather than stored-pressure. This controls which checklist items appear during a service — gas-cartridge specific items are shown or hidden automatically based on this setting.

Bulk Import via CSV
Migrate your existing records in one step
If you're moving from spreadsheets or another system, you can import your customers in one step using a CSV or Excel file. The import is customer-first: the only column that's required is the customer/site name — everything else is optional. Import a plain customer list on its own, or include equipment where you have it. You can even give a rough count like 7 x EXT and Tagr will create seven generic extinguishers for your techs to fill in on the first visit.

Three ways to import, and you can mix them in one file:
- • Customers only — just names (and address/contact if you have them). No equipment yet.
- • A count —
7 x EXT (or just 7) creates seven generic extinguishers to detail later.
- • Full detail — one row per unit with type, size, location and serial, exactly as before.

Prepare your file
You can use the Tagr template (click Download Template) or upload your own existing spreadsheet exported as CSV — column names don't need to match exactly.

Upload the file
Click ↑ Import CSV on the Sites page and select your file.

Map your columns (if needed)
If Tagr doesn't recognise your column names, a column mapping screen appears. For each of your columns you'll see a sample value from your data and a dropdown to match it to the correct Tagr field. Columns Tagr recognises automatically are pre-mapped — you only need to set the ones it couldn't detect. See the section below for details.

Preview and import
After mapping, click Next → to preview the first few rows, then Import. You'll see a live count of sites and equipment created.

Review any errors
Rows that fail are shown with the reason. Fix them and re-import — existing records won't be duplicated.
Column mapping
If your spreadsheet uses different column headings to the Tagr template (e.g. "Business Name" instead of site_name, or "Agent" instead of site_contact), Tagr will show a mapping screen after you upload the file.

See your columns and sample data
Each column from your file is shown with the heading and a sample value from your first data row — so you can tell at a glance what data is in each column.

Check the auto-detected mappings
Common variations are detected automatically. For example, "Site Name", "Business", "Company", and "Customer" all map to site_name without you doing anything. Pre-mapped columns show the matched Tagr field in the dropdown.

Set any remaining mappings
Columns that couldn't be auto-detected show a — skip column — placeholder. Use the dropdown to select the correct Tagr field, or leave it as skip if that column isn't needed.

Click Next
Tagr applies the mappings and shows a preview of the first few rows. Check the data looks right, then click Import.

If your headings are close but not exact, try the mapping screen — chances are Tagr will pick them up.

Only one field is required — site_name. A row with no customer name is skipped; everything else is optional and used only if present. (If you leave equipment columns out entirely, you'll import a customer list with no equipment, which is perfectly fine.)

Number of units — map a count column to equipment_qty. Tagr reads the leading number, so 7, 7 x EXT, and 7 EXT all create seven extinguishers. If a row has no type, it defaults to extinguisher. On the preview screen you can set a First service due month that's applied to all imported equipment — handy for putting a batch straight onto the schedule.

CO₂ shorthand — The subscript ₂ in CO₂ can be tricky to type. Tagr accepts CO2 and will convert it automatically. Similarly, ABE is accepted in place of ABE Powder.

Date format — Dates must be in YYYY-MM-DD or YYYY-MM format. Excel sometimes auto-reformats dates — check your CSV in a plain text editor if you get date errors on import.

Core Workflow
Running a Service
The guided checklist workflow
The service workflow is the heart of Tagr. It walks you through every piece of equipment at a site, presenting the exact NZS 4503:2005 checklist items for the chosen service level. Everything you record feeds directly into the compliance report PDF.
Starting a service
Dashboard → Start Service or Sites → [Site] → Start Service

Choose the service level
Select Monthly Inspection, 6-Monthly Inspection, Annual Service, or Five-Yearly Service. The checklist items shown depend on this — five-yearly includes all annual items plus additional pressure checks. If you started from a scheduled job, the level is pre-selected.

Select equipment to service
All active equipment at the site is pre-selected. Deselect any items you're not servicing this visit.

Work through the checklist
For each item, mark each checklist point as Pass or Fail. Only items relevant to that specific unit are shown — wheeled-only, gas-cartridge, powder, and subtype-specific items appear or hide automatically based on the equipment record. If you mark a fail, you can add a defect note and optionally attach a photo.

Record parts replaced
Any components replaced during the service can be recorded here — these appear on the job sheet PDF with pricing if rates are set.

Enter time on site
Enter the hours spent. Used for labour cost calculation on the job sheet if you use hourly billing.

Complete the service
Click Complete Service. The next service date for every item is updated automatically, and the compliance report is generated immediately.

Recording a service done on another day — On the Start Service screen, admins can set the Date of Service. It defaults to today, but if you carried out the work earlier and are only entering it now, change it to the actual service date. That date is what appears on the report, and the next-service-due date is calculated from it — so back-dating keeps the compliance schedule accurate. The report footer separately shows a "Printed" date so it's clear when the PDF itself was produced. This field is admin-only — the technician view always uses today.
Five-yearly pressure test warnings
During a service, Tagr automatically flags any units that are due or overdue for their five-yearly hydraulic pressure test.

Badge on unit selection
Units due for their five-yearly test show a 5YR DUE (amber) or 5YR OVERDUE (red) badge next to their name on the unit selection screen, before the checklist begins.

Warning banner on checklist
When you reach a flagged unit's checklist card, a warning banner appears reminding the technician that this unit needs to be removed for pressure testing. The banner disappears once the unit is marked as replaced or a loan unit is placed.

Five-yearly units can't be tested on site — extinguishers must be sent to a test facility. During the service, the technician should either record a Full Unit Replacement (if the unit is being swapped out) or use the Send for Test / Place Loan option to record that the unit has gone away and a loan unit has been left at the site. The loan unit is tracked separately until the original returns.

The checklist automatically shows only the items that apply to each specific unit — reducing unnecessary taps on large sites.

Carriage assembly and wheel bearing items only appear for wheeled units (25kg, 50kg, 90kg). They are hidden for all portable extinguishers.

Gas-container specific items (cartridge condition, actuating device, operating head) only appear when the unit is marked as gas-cartridge type. Stored-pressure items show for all other units.

Keeping equipment records accurate — Smart filtering relies on the equipment record being correct. Make sure the subtype, size, and gas-cartridge flag are set accurately when adding or editing equipment — these drive which checklist items appear.
Pass All
For large sites with many units, admins can enable a Pass All option on a per-site basis. When enabled, a "Pass All" button appears at the bottom of each unit's checklist — after the technician has scrolled through the full list.

Enabling Pass All
Open the site, click Edit Site, and tick Allow "Pass All" on service checklist. This setting can be turned on or off at any time — useful for temporarily disabling it when a new technician is visiting a site.

How it works
Tapping Pass All shows a confirmation prompt: "I confirm all compliance checklist items relevant to this unit have been physically checked and are satisfactory." The technician must confirm before all items are marked as passed.

Pass All is an admin decision — Technicians cannot enable this themselves. It defaults to off for all sites. Only enable it for sites where the technician is experienced and the equipment is routinely in good condition. Failures still need to be caught and recorded manually.

Works offline — If you lose signal during a service, keep going. Everything is saved locally and will sync automatically when you're back online.

Service levels explained — Monthly and 6-monthly inspections are lighter checks (visual inspection, pressure, weight). Annual includes a full discharge and internal inspection. Five-yearly includes all annual items plus pressure testing and hydraulic test for hose reels.

Reports are dated the day of service — The Service Date on every report is the actual date the work was carried out, not the day you print it — so re-printing an old report later still shows the correct date (with a separate "Printed" date in the footer). Equipment is listed grouped by type and tag number for easy checking.

QR Code Labels
Tag equipment for instant access on site
Tagr supports two types of QR code — one per piece of equipment, and one for the site itself. Both can be scanned from any phone camera without opening the app first.

Print and attach
Print on label stock and attach each label to the corresponding item on site. Laminate if possible for durability.

Scanning a unit QR — Anyone who scans an equipment label with their phone camera sees a public read-only equipment card — type, location, rating, last service date, next due date, and current status — with no login required. This is great for customers and building managers who want to check a unit's compliance themselves, and it's handy when an extinguisher turns up with no context. Nothing can be changed from the public card. Your technicians, meanwhile, can use the in-app QR scanner (the scan button in the header) while logged in to jump straight to a unit's site and start a service.
Blank QR tags (print ahead, assign on site)
Sometimes you want tags before the equipment is in Tagr — for example when taking on a new customer whose equipment isn't loaded yet, or to keep a roll of tags ready in the van. Blank tags let you print now and assign later.

On the Sites page, click 🏷️ Blank QR Tags. Choose how many you want and, optionally, a batch label (e.g. "Roll A — Sep 2026").

Print the sheet
A PDF of unassigned tags is generated — each with a scannable code and blank Item and Location lines to write on. Print them and keep them handy.

Assign on site
When you fit a tag to a unit, scan it with the in-app scanner. Because it isn't assigned yet, Tagr asks you to allocate it — either create a new equipment record (fill in type, location, serial) or attach it to an existing untagged unit at that site.

Done — it's a normal tag
From that point the tag behaves exactly like any other equipment tag: scanning it opens that unit's record, or the public card for anyone scanning without logging in.

Re-printing a batch — The Blank QR Tags dialog lists every batch you've printed before, with the date and how many are still unassigned. Click Re-print to open the same sheet again — no new tags are created. The button also shows a running count of tags that haven't been assigned yet.

Assigning uses the in-app scanner — Allocating a blank tag is done from inside Tagr (the scan button in the header), not the phone's plain camera, because you need to be logged in to create or attach equipment. Scanning an unassigned tag with a plain camera just shows a "tag not yet assigned" page.

Open the site
Go to the site detail page.

Click ⬛ Site QR
A printable page opens showing the site name, address, and a large QR code. Print it and display it at the site — e.g. on a noticeboard in the plant room.

Technician scans on arrival
When a technician scans the site QR code with their phone camera, Tagr opens directly to the Start Service screen for that site — no searching required.

Not logged in? — The equipment card is public, so it opens without signing in. The site QR goes to Start Service, which does need a login — if the technician isn't signed in when they scan it, they'll log in first and the app then opens the correct site automatically.
Planning
Scheduling Jobs
Plan upcoming service visits and assign technicians
The Schedule section lets you plan upcoming service visits. You can schedule individual sites or select multiple sites at once to batch-schedule a run. Jobs can be assigned to specific technicians and organised by geographic area.

Schedule → Sites Due (or Map View) → Schedule

Go to Schedule
Click Schedule in the left sidebar. You'll see five tabs: Scheduled Jobs, Sites Due, Equipment Due, Map View, and Calendar.

Select sites to schedule
The Sites Due or Map View tab is the usual starting point — both show sites with equipment due soon or overdue. Tick the ones you want to schedule, or use Select All. On the map you can filter by geographic area to plan an efficient run.

Set the date and service level
Choose the scheduled date and the service level (Monthly, 6-Monthly, Annual, or Five-Yearly). These are applied to all selected sites.

Assign a technician
Optionally assign the jobs to a specific technician. Assigned jobs appear in that technician's mobile view.

Confirm
Click Schedule X Jobs. The jobs appear in the Scheduled Jobs tab and on the calendar.
Geographic grouping
When selecting sites to schedule, use the Group by Area option. This clusters sites by suburb or city so you can schedule efficient geographic runs — all Petone sites on Tuesday, all CBD sites on Wednesday — minimising travel time.
Sites Due tab
The Sites Due tab is the fastest way to see which sites need attention. All sites are listed and sorted by compliance urgency — overdue sites at the top, then due soon, then current — with the number of days until next due. Filter by status (All, Overdue, Due Soon, Current) or switch to alphabetical sort. Click Schedule next to any row to book that site in directly. The button changes to Edit if a job is already scheduled for that site, opening the existing job for adjustment instead of creating a duplicate.
Scheduled Jobs tab
The Scheduled Jobs tab lists all upcoming jobs. From here you can:
- ✓ Click Start to begin the service checklist for that job — the service level is pre-selected automatically.
- ✓ Edit the date, technician, or service level.
- ✓ Delete a job if plans change.

"Awaiting upload" indicator — If a technician completes a service offline (no signal in a basement or plant room), their job appears in Scheduled Jobs with an ⏳ Awaiting upload badge. As soon as the device is back online, the job syncs automatically and the indicator clears.

Jobs auto-clear when complete — Once a service is finished and saved, the corresponding scheduled job is removed from the Scheduled Jobs list automatically. No manual cleanup needed.

Track and schedule non-NZS 4503 serviceable items
Alongside NZS 4503 fire extinguisher compliance, many sites have other serviceable items — kitchen suppression systems, emergency lighting, gaseous suppression, sprinklers, and more. Additional Services lets you track and schedule these in Tagr, each with their own interval, pricing, and job sheet.

No compliance report generated — Additional Services jobs produce a job sheet only. The compliance report for specialist systems (e.g. kitchen suppression) stays with the specialist contractor. Tagr handles the scheduling, job sheet, and service history.
Adding an Additional Service to a Site
How to add an additional service
Sites → [Site name] → Additional Services tab → + Add Service

Open the site and go to the Additional Services tab
Click a site from the Sites list, then select the Additional Services tab on the site detail page.

Click + Add Service
The add service form appears.

Fill in the service details
Enter the service name, location on site, service interval, service fee, and any optional notes (see fields below).

Save
The service appears in the tab and immediately feeds into the dashboard and schedule indicators so it won't be missed.

Scheduling an Additional Services Job
There are two ways to schedule an additional services visit:

Choose which services to include
A checklist of the site's configured additional services appears — all ticked by default. Untick any services not being covered on this visit.

Set the interval for each service
Each ticked service shows an interval dropdown. The default is the service's configured interval, but you can override it — for example, select Ten Yearly for a major overhaul even if the service is normally Six Monthly.

Assign technician and date
Assign a technician and set the date as you would for any other job. Click Schedule to confirm.

Additional Services Only option — This job type is only available for sites that have at least one additional service configured. If the option is greyed out, add a service to the site first via the Additional Services tab.

When a technician taps a scheduled additional services job on their phone, the workflow is distinct from the standard NZS 4503 checklist:

Tap Finalise & Save to complete the job. A job sheet is generated and the service history is updated.
Job Sheet
After completion, a job sheet is generated and accessible from the Reports history page. The job sheet includes:
- ✓ Each additional service completed, with technician notes.
- ✓ Parts used and pricing per service.
- ✓ Any services marked as skipped, with the reason recorded.
- ✓ No separate labour or call-out line — the service fee for each item covers the pricing.
- ✓ No NZS 4503 compliance report is generated for additional services jobs.

If any additional services are overdue or due soon, an amber (or red) stat card appears on the dashboard. Clicking the card goes directly to the affected site's Additional Services tab, or the sites list if multiple sites are affected.

Rows for sites with due additional services show a service indicator alongside the standard compliance status, so nothing slips through when planning your schedule.

On standard NZS 4503 job cards — If additional services are also due at a site, an amber badge is shown on the technician's job card for that visit. This is a prompt to raise it with the customer or schedule a follow-up additional services job — it does not trigger the additional services workflow within the standard visit.

The Calendar tab shows all scheduled jobs laid out across the week. Each technician has their own row so you can see who is doing what, and on which day, at a glance.

Map View
See your sites geographically
The Map tab shows all your customer sites on an interactive map, colour-coded by compliance status. This makes it easy to spot clusters of overdue or due-soon sites when planning a service run.

Reports History
Access all past service records
The Reports section keeps a full history of every service completed. You can download any past PDF at any time — useful if a customer asks for a copy of a previous report or you need to demonstrate compliance history.

Completed-service alerts — When a technician finishes a service in the field, admins get a notification (the bell in the top bar) so the office knows the moment a job is done and a report is ready.

Click Reports in the left sidebar.

Find the service
Reports are listed in reverse chronological order. Each entry shows the site name, date, service level, and technician. The most recent 50 reports load by default — use Next / Prev at the bottom of the list to page through older history. The subtitle shows the total job count.

Search or filter
Use the search box to find reports by site name — press Enter to run the search across all your history (not just the current page). Or use the service-level filter (Annual, Six-Monthly, Monthly, Five-Yearly) to narrow the list.

Download the PDF
Click the download icon next to any report to regenerate the PDF instantly. Both the Compliance Report and the Job Sheet are available.

Managing Technicians
Add and manage your field team
Technicians are added by the admin. Each technician gets their own login and sees a mobile-optimised view showing only their assigned jobs. They cannot see other technicians' jobs, settings, or reports.

Enter the technician's name, email address, and set a temporary password.

Share the login details
Send the technician their email and temporary password. They log into app.tagr.co.nz on their phone.

Deactivating a technician — If a technician leaves, deactivate their account from the Technicians page. Their historical job records are preserved.

Equipment Lifecycle
Condemn, loan, and pressure testing
Tagr tracks the full lifecycle of every piece of equipment — not just routine services. Three special states are available from the equipment detail on any site page.

Condemn
Mark equipment as condemned (written off). It remains in the register for history but is excluded from compliance counts and future scheduling. A condemned note can be added.

Loan Unit
When a unit goes away for pressure testing, place a loan unit at the site. Record the loan unit's serial number and type. The original unit is marked "Out for Test" and the loan is tracked separately.

Pressure Test
Send an extinguisher for hydraulic pressure testing. Tagr tracks when it left, and when it returns. On return, the loan unit is removed and the original unit's record is updated.

Replace Unit
When a unit is replaced during a service, tick "Full unit replacement" and record the new unit's serial, size and manufacture date. The manufacture date is required for extinguishers — it resets the pressure-test schedule for the new cylinder, and you can't complete the service without it. The record keeps the same location and reference for continuity.

Settings & Pricing
Set up your rates and customise the app
The Settings page is where you configure your company details, report branding, billing rates, custom component types, and profile. Find it by clicking Settings in the sidebar.
Pricing
Set your rates once and they'll populate the job sheet PDF automatically after every service.
Billing Model
Hourly rate — Labour charged per hour on site. Enter your hourly rate and the job sheet calculates the total from time entered.
Call-out fee — A flat fee per visit regardless of time. Enter your call-out fee.
Service Rates
A per-unit rate for servicing each type of equipment — extinguisher, hose reel, and fire blanket. Added to the job sheet total.
Parts pricing
The price for a part replaced during a service (O-rings, pins, pressure gauges, etc.) is entered by the technician at the time it's recorded, and flows onto the job sheet. A managed, reusable price list is on the roadmap.
Per-site Override
Some customers are on a different billing model — or a different call-out fee — to your standard rate. In Edit Site you can override two things per site: the Billing Model (Hourly vs Call-out) and the Custom Call-out Fee (the dollar amount per visit). Either field can be left as "Use company default" to inherit the global setting. Useful when one customer has negotiated a premium rate or you cover a regional site at a higher fee.
Report Branding
Put your own company logo and colours on your reports. Under Settings → Report Branding you can upload a logo and choose an accent colour, and they'll appear on the compliance report, job sheet, and record of equipment — replacing the Tagr branding.

Upload your logo
Choose a PNG or JPG up to 2 MB. Tagr automatically resizes it to fit the report — a transparent PNG looks best. You'll see a live preview.

Pick your accent colour
Use the colour picker (or type a hex code) to set the colour used for the report's header line and section headings. It defaults to Tagr yellow.

Save
Click Save branding. From then on, every PDF you generate uses your logo and colour. Leave the logo empty to keep the standard Tagr look.
Custom Components
If you use components that aren't in the default list (e.g. specialist fittings or non-standard parts), you can add them under Custom Components in Settings. They'll appear in the parts replaced list during the service workflow.

Update your display name and change your password from the Profile section at the bottom of the Settings page.

Admin mobile view
Admins using the app on mobile see the full calendar and schedule in a mobile-friendly day-list format. Tap any day to see all jobs, tap a job to edit or start it. All admin functions are accessible via the hamburger menu.

QR scanning — Use your phone's native camera app to scan QR labels. Scanning an equipment QR opens the equipment info card (location, last service, pressure test status) with a Start Service button. Scanning a site QR goes straight to the Start Service screen for that site.
